What does an NDIS plan manager actually do, and how is it different from a support coordinator?

An NDIS plan manager is essentially your financial administrator who handles all the money-related aspects of your NDIS plan. They process and pay invoices from your service providers, submit claims to the NDIA on your behalf, track your budget spending across different categories, and provide you with regular financial statements so you always know where your funds are.

A support coordinator, on the other hand, helps you understand your plan, connect you with appropriate service providers, coordinate your supports, assist with plan reviews, and advocate for your needs. Many participants benefit from having both working together to maximise their NDIS outcomes.

Plan managed means a registered plan manager for NDIS handles all the financial administration for you. You still choose your providers and services, but the plan manager pays invoices, claims from the NDIA, keeps records, and tracks your budget. You can use both NDIS registered and unregistered providers, giving you great flexibility. Plan management is completely free for you – it’s funded separately by the NDIA and doesn’t reduce your other supports.

Self-managed means you handle everything yourself – paying providers, submitting claims through the myplace portal, keeping all records and receipts for at least 5 years (in case of audit), and tracking your own budget. You’ll typically pay providers out of pocket first, then claim reimbursement from the NDIA (usually within 2 business days). The administrative workload can be substantial – anywhere from 5-25 hours per week.

No, plan management does not cost you anything and will not reduce your funding for other supports. This is one of the most misunderstood aspects of NDIS plan management.

When you choose plan management at your planning meeting, the NDIA includes additional funding in your plan specifically for plan management services under the ‘Improved Life Choices’ capacity building category. This is completely separate from your Core Supports, Capital Supports, and other Capacity Building budgets. The plan management allocation sits on top of your other funding – it’s not subtracted from it.

You do not pay a percentage of your plan; there are no setup fees that come from your budget, and there are no out-of-pocket expenses. The plan manager is paid directly by the NDIA from this separate allocation.

Yes, one of the biggest advantages of plan management is that you can use both NDIS registered and unregistered providers. This gives you significantly more choice – participants who are plan managed or self-managed have access to around four times as many providers compared to those who are NDIA-managed (agency-managed).

Your NDIS plan manager will ensure all claims are compliant with NDIS rules, the services align with your plan goals and are “reasonable and necessary,” and you’re not being overcharged. This gives you the freedom to choose your providers while having professional oversight to protect you from non-compliant spending or fraud.

Choosing an independent plan manager with no conflict of interest is important because it ensures that every decision they make is based solely on your needs, not on financial incentives, preferred providers, or organisational pressures.

An independent manager, such as NDIS Superhero, provides unbiased, client-focused financial management. They have no ties to service providers, so they have nothing to gain from steering you toward certain supports.
